Comparison

CollectContent vs Spreadsheets

A shared spreadsheet is the workaround almost everyone tries first. It's free and familiar. But spreadsheets were built for numbers, not content: no rich text or image fields, no review workflow, and version chaos the moment more than one person is involved. CollectContent gives content the structure a spreadsheet never can.

The key differences

Where the two differ most

What changes when you move content out of cells and into a tool built for it.

Structure

Spreadsheets

Every cell is plain text. There's no rich text, no proper image fields and nothing stopping a contributor pasting the wrong thing in the wrong place.

CollectContent

Structured templates with the right field type for every piece of content (headings, rich text, images, files) so nothing is missed or malformed.

Versions

Spreadsheets

Copies get emailed around and renamed *final_v3_FINAL.xlsx*. It's hard to know who changed what, or which copy is the real one.

CollectContent

One single source of truth with full history, so everyone is always working on the current version, with no duplicate files to reconcile.

Review & workflow

Spreadsheets

No review states, no approvals, no due dates. Tracking what's done versus outstanding means yet another colour-coded column.

CollectContent

Built-in colour-coded workflow, due dates and approvals, so you can see at a glance exactly what's drafted, in review and signed off.

Images & media

Spreadsheets

Images float awkwardly over cells with no sizing or specs. Most teams give up and email the files separately.

CollectContent

Collect images in place and edit them inline to an exact size, so what you gather is already the right dimensions for publishing.

Switching is simple

Questions

Common questions

Can I import my existing spreadsheet?
We're currently working on a spreadsheet import integration. Once available, you will be able to map your columns to fields once and import your rows, then you're up and running with structure, workflow and history that a spreadsheet can't offer.
What about images in my spreadsheet?
In CollectContent, images live in proper image fields. They're collected in place and editable inline to an exact size, rather than floating over cells or emailed separately.
Do I lose the simplicity of a spreadsheet?
No. You keep the at-a-glance overview but gain field validation, a single source of truth and a real review workflow on top.
