Plans, Billing & Getting Started
Is there a limit on users?
No. Every plan includes unlimited users. You choose a plan based on the features and projects you need, not the size of your team.
How does billing work?
All plans are billed monthly. You can change plan or cancel at any time from your team settings.
Can I change plan later?
You can upgrade or downgrade at any time from your team settings. Upgrading gives you immediate extra features and a partial bill. Downgrading changes take effect at your next payment.
Do you offer pricing for charities and nonprofits?
Get in touch and we'll talk through the right plan for your team, including options for charitable organisations.
Do I have to use every feature?
Not at all. Start with templates and invite a teammate, then add workflows, due dates and integrations whenever you're ready. Everything works on its own and gets better together.
Templates, Fields & Media
What's a component?
Any field or field group can be saved as a reusable component (like an address block or a set of FAQ fields) and dropped into other templates so you don't rebuild it each time.
Can I limit how many repeats an editor can add?
You can set a maximum number of repeats per field group when building the template, or leave it open so editors add as many as the content needs, which works well for accordions, FAQs and list items.
Where do uploaded images and files live?
They're stored against the item and gathered in the project's media library, so you can reuse them and export everything as a ZIP when you're done.
Collaboration & Reviewing
How many people can edit an item at once?
As many as your team needs. Everyone sees live cursors and presence avatars, and changes are saved automatically as you write, so there's no version to merge afterwards.
Can I invite reviewers who aren't on my team?
Yes. There are unlimited team members and no paid seats, so guest reviewers can read and comment without increasing your costs.
Do comments notify the people I mention?
Yes. Mention a teammate with @ and they're notified, with a link straight to the comment in context.
What happens if I lose connection?
Your work is kept safe and syncs back up as soon as you reconnect. CollectContent shows a clear status while it reconnects, so you always know where things stand.
Workflows, Deadlines & Calendar
Can each project have a different workflow?
Yes. Define the stages that suit each project, with their own names and colours. The status bar and calendar follow whatever you set up.
Can I add a clinical or extra review stage?
Workflow stages are yours to define, so you can add a review step (clinical, legal or editorial) with a named approver, and stop content moving on until it's signed off.
What counts as overdue?
Any assigned item past its due date is flagged as overdue and surfaced on the project overview and the assignee's view, so it doesn't get forgotten.
Can I lock content once it's approved?
Set a stage to read-only and items in it are locked from further edits, which is handy for protecting approved, ready-to-publish content.
Does the calendar show the whole team?
The editorial calendar gathers due dates and scheduled items across everyone, so you can balance workloads and plan launches together.
Team & Permissions
Is there really no limit on team members?
You can invite as many people as you need and there's no per-seat fee. Your plan covers the whole team, so cost never gets in the way of bringing the right people in.
What can an Assignee actually see?
Only the items they're directly assigned to. They don't see other projects, folders or settings. It's a focused, distraction-free view that makes the Assignee role ideal for freelancers and outside contributors.
Can I change someone's role later?
Any time. Each role carries its own set of permissions, so an Administrator controls what someone can do simply by changing their role or removing them from the team via team settings. The change takes effect straight away.
Can I control who edits and approves content?
Yes. Permissions are set per account and by role, and workflow stages can be read-only or require named approvers, so the right people edit, review and sign off.
Can I keep clients separated from each other?
Yes. Give each client their own project, assign guest reviewers as Assignees so they only see content assigned to them, or use separate accounts per client when you need complete isolation.
Publishing, Integrations & Export
How does the TerminalFour export work?
You map your CollectContent templates to T4 content types once. After that, approved items export directly into TerminalFour as Sections and Content within your existing site hierarchy.
What's included in a CSV export?
A row per item with every field you have chosen mapped to a column, so you can import the content into any system that accepts a spreadsheet.
Does the media ZIP keep original quality?
Yes. The ZIP contains every image and attachment from the project, including cropped images at their cropped dimensions, organised so you can find things easily.
Which systems can I publish to?
TerminalFour is built in for higher-education sites, and you can export content as a CSV spreadsheet or a media ZIP for any other system. New connectors are in development. Tell us where your content needs to go.

Security, Accessibility & Accountability
Is there a history of changes?
Each item keeps a full history of edits, so you can show how content was produced and when.
Can approved content be locked from edits?
Workflow stages can be set to read-only, so once content is approved it can't be changed without moving it back through the proper review steps.
Does CollectContent help with accessibility?
Through structured fields, guidance notes and plain-English prompts, it builds good practice into how content is created, so accessible, well-organised content is the default rather than a final clean-up job.
