Managing Workflow Stages

Workflow stages define the steps content goes through on its way to publication. Every project can have its own custom set of stages, so you can match the workflow to how your team actually works.

Manage workflow stages

  1. Open the Workflow: Select Workflow in the project navigation.
  2. Click the Add Workflow Stage button at the bottom of your workflow.
  3. Repeat as needed: Add as many stages as your process requires.
  4. Set the order: Use the arrow buttons to rearrange workflow stages stages into the order content should move through them, the top stage is where new items start.
  5. Set stage settings: for each stage, you can provide a colour, name, description, due date, assignees and whether a content item should be read-only when using the stage.
  6. Save your changes: click Save Workflow at the top of the screen to apply the new stages to the project.

A typical workflow might be: Brief → Draft → In Review → Approved → Published.

Updating workflow stages

You can update your workflow stages by editing each stage. Once finished, ensure you click Save Workflow at the top of the screen to apply your changes.

Rearranging workflow stages

Workflow stages can be rearranged using the arrow buttons . Once rearranged, ensure you click Save Workflow at the top of the screen to apply the rearranged stages.
