Most of the time, archiving is all you need to retire a workflow stage you no longer wish editors to use. Permanent deletion is a separate, stronger action for workflow stages you're certain you'll never need again, for example, duplicates created by mistake or stages left over from an old project.
Before you delete
A workflow stage must be archived before it can be permanently deleted. Before you permanently deleting a workflow stage, consider the following:
- Check where it's used. Deleting a workflow stage will unassign any items that reference it.
- Only Owners and Administrators can delete workflow stages.
Permanently deleting a workflow stage
- Open Team Settings by clicking your team name in the global bar.
- Within the team menu select Recycle Bin.
- Within the Recycle Bin, find your project. You cannot permanently delete a workflow stage in a recycled project. If you need to permanently delete a workflow stage in a recycled project without deleting the entire project, please restore your project.
- Click the Manage Recycling button for your chosen project.
- Within the Recycling Bin, select "Workflow" from the left-hand sidebar.
- Find the workflow stage, and click the Permanently Delete button.
- Within the dialogue, confirm you wish to permanently delete the workflow stage.
This cannot be undone
Permanently deleting a workflow stage removes it everywhere in CollectContent, including from any items using it. There is no recovery option after deletion.
