Writing text in the Editor

Updated 15 July 2026 4 min read

Text fields in the CollectContent editor are designed to stay out of your way while you write. Text fields give you a clean, focused writing experience with all the formatting tools you need.

Formatting your content

The formatting options available in a text field depend on the settings chosen for the text field in your template. For example, a text field can allow either a single line or multiple lines of text. Additionally, a text field can either be plain text or rich text.

Good to know

Formatting options are only available for text fields that have "Rich text" enabled in your template.

Keyboard shortcuts

You can keep writing without touching the mouse, using keyboard shortcuts for the most common formatting.

  • Bold: Cmd B / Ctrl B
  • Italic: Cmd I / Ctrl I
  • Underline: Cmd U / Ctrl U
  • Bulletpoint List: Start a bullet list with - or * followed by a space
  • Numbered List: Start a numbered list with 1. followed by a space

The formatting toolbar

When you begin typing in a rich text field, the formatting toolbar appears at the top of the screen, underneath the tabs selector.

Formatting options

All available formatting options are below. However, the options available in the formatting toolbar are configured in the text field template settings.

Pasting content

You can paste from Google Docs, Word, Notion and most web-based editors. Basic formatting (bold, italic, headings, lists and links) will be preserved, provided the formatting options are enabled in your text field template settings. Images embedded in pasted content are not imported automatically, and should be uploaded to separate image or attachment fields instead.

Adding links to your content is straightforward from within the rich text editor.

  1. Select your text: Highlight the text you want to turn into a link.
  2. Click the link button: in the toolbar
  3. Enter the URL: Type or paste the address and click Save.

To edit or remove a link, click anywhere on the linked text and select Change or Remove from the popup.

Adding comments

Adding comments to your content within the text editor give team members greater context, enabling more effective collaboration.

  1. Select your text: Highlight the text you want to comment on.
  2. Click the comment button: in the popup that appears above your highlighted text
  3. Enter a comment: into the compose popup, you can use "@name" to mention team members.
  4. Click the post comment button to save your comment. Any mentioned team members will be notified of your new comment.

If you have a more general comment, not related to a specific section of text, see Managing Comments and Mentions.

Word counts and guidance

Word count targets and guidance notes are configured on the template. Guidance notes help to provide clear instructions and help maintain consistency across all your content.

Word count indicator

For text fields, the template author can set a target word count. Word counts are targets and help to guide your content. Once reached or exceeded, word counts do not prevent editors from adding additional content.

When a target is set, a live word count appears below the field as you type, showing your progress against the target.

Guidance notes

Guidance notes appear at the bottom of the field as helper text. They're set in the template and can include instructions and examples relevant to the field.

See Adding Guidance to Fields if you're a template author looking to add notes.

What editors should do

Word counts and guidance notes are advisory, they don't prevent saving. Use them as a guide to produce content that meets your team's standards.
